Functions

CONTRACTOR III PLUS Equipment Costing performs two functions vital to companies that operate or rent out equipment, even if your organization operates only two pieces of equipment requiring maintenance, fuel, and/or other cost detail.

First, Equipment Costing tracks the actual costs on each piece of equipment. Second, it applies equipment expense to each job at estimated hourly rates.

As an extension of these two functions, Equipment Costing can also track rental income separately from pseudo-income billed to internal jobs. This feature can be very valuable to companies who rent out equipment on a regular basis.

Operation

This module maintains a file containing each piece of equipment including the equipment description and licensing information, location, usage and billing rates, and accounts. Each file also contains income and cost tracking for as many as 100 cost items (i.e. maintenance, fuel, tires, etc.).

Usage logs are easily entered into the system, or equipment usage may be entered while entering payroll time-sheets. The system then posts all equipment usage to the equipment master and the appropriate General Ledger and Job Costing accounts.

The program can then produce equipment usage analysis reports which allow the operator to manage equipment more easily.

Analysis

With these reports in hand, the operator can compare actual equipment expenses and estimated expenses to determine whether proper rates are being charged. Using either screen or printed reports the operator has instantaneous access to information that can aid in evaluation of costs and profitability on an end-of-month, yearly, or cumulative-since-purchase basis.

Equipment Costing programs are fully integrated with the rest of the CONTRACTOR III PLUS accounting system. Costs are accrued directly from the Accounts Payable and Payroll modules. Rental income may accrue from accounts receivable billings. job cost and overhead expense accounts may be directly charged for equipment usage.

Some people prefer to enter their equipment usage on a job directly from Payroll time-sheets. Some organizations prefer a special equipment time sheet (equipment log) for better control since this prevents duplicate reporting of usage when more than one employee is using the equipment. An equipment log also allows meter readings to be recorded in order to prevent theft of use. When equipment is rented, usage may be recorded directly through Accounts Receivable invoice entry.
